Upcoming Payment Visibility & Invoice PDFs: Greater Transparency for Recipient Payments

At Trolley, we’ve always believed payouts are more than just moving money.

For both businesses and recipients, moving money can be an anxious process filled with uncertainty around timing, visibility, and trust. That’s why we focus on building payout experiences that reduce friction and give people more clarity and confidence every step of the way. The recipient experience matters just as much as the payment itself.

With that in mind, we’re launching upcoming payment visibility and invoice PDFs — new capabilities that help platforms give recipients more context, more transparency, and more confidence before funds ever reach their account.

Starting May 7, merchants can make payments visible to recipients before processing begins, while also sharing professional invoice PDFs directly through the recipient portal or embedded widget experience. Recipients will automatically receive branded email notifications letting them know that they have upcoming payments ready to review.

The result is a payout experience that feels clearer, more trustworthy, and more professional, without requiring additional work for your engineering and support teams.

Give recipients the full picture before payment arrives

For many recipients, payouts can feel opaque. They see an amount deposited into their account, but little context around what it’s for, how it was calculated, or when it’s coming.

Upcoming payment visibility changes that.

Recipients can now view upcoming payments directly inside the Trolley recipient portal or embedded widget before processing occurs. If the payment was created with an invoice PDF, they’ll also see a detailed line-item breakdown explaining exactly why they’re being paid the amount they’re receiving.

This experience is available across desktop and mobile, helping recipients stay informed wherever they manage their payouts.

Recipients can see their upcoming payments and attached invoices in the recipient portal or widget.

Merchants also retain access to invoice PDFs directly from the merchant dashboard, creating a shared source of truth between finance teams and recipients.

Instead of generating support tickets asking “What is this payment for?” or “When will I get paid?”, platforms can proactively answer those questions before they happen.

Professional payout communication without additional build work

Clear payment communication shouldn’t require custom infrastructure.

With upcoming payment visibility enabled, recipients automatically receive a white-labeled email notification whenever a payment is visible to them. The email uses your existing branding already set up in Trolley, including merchant logos, sender details, and customized styling.

Recipients receive a polished notification letting them know an upcoming payment is ready for review — with no engineering effort required on your part.

This capability extends Trolley’s existing white-labeled communications framework while offering platforms the opportunity to make another touchpoint that reinforces trust and professionalism with their recipients throughout the payout lifecycle.

For marketplaces, creator platforms, gig platforms, and other businesses operating global payouts, that consistency matters. Recipients feel informed, reassured, and confident that payments are progressing as expected.

Built-in approval workflows for finance teams

Many finance teams already operate with “maker-checker” workflows internally. But too often, those processes happen outside the payout platform itself.

Upcoming payment visibility and invoice PDFs make those workflows easier to manage directly inside Trolley.

Teams can now support a structured three-step process:

  1. One team member creates (or makes) the invoice manually in Trolley, through an API endpoint, or via automated invoice ingestion.
  2. Another approves (or checks) it and creates a payment against the invoice.
  3. A third team member processes the payment batch.

This structure gives finance and AP teams stronger internal controls while preserving visibility rules for recipients.

Invoices remain hidden from recipients while they’re still open or under review. Recipients only gain visibility once invoices move into statuses like:

  • Pending
  • Partially paid
  • Paid

That means platforms can maintain internal review and approval processes without exposing incomplete or draft payment information externally.

For organizations with compliance, audit, or segregation-of-duty requirements, this creates a cleaner operational workflow while reducing reliance on disconnected spreadsheets, email approvals, or manual coordination.

Recipients can see a line-item breakdown of what they’re getting paid on invoice PDFs.

Flexible visibility controls for every payout model

Not every platform wants the same visibility behavior.

Some want every upcoming payment visible by default. Others may need more granular control based on payout type, geography, workflow, or recipient segment.

Trolley supports both models.

Merchants can enable a global setting that automatically turns on upcoming payment visibility for all new payments. Teams that need more flexibility can also override visibility settings on individual payments through the API.

That means platforms can choose the rollout strategy that best fits their operations:

  • Enable visibility platform-wide
  • Control visibility case-by-case
  • Gradually roll out the experience to select payments only

This flexibility gives operations and engineering teams tighter control while still improving recipient communication.

Why recipient transparency matters more than ever

Recipient expectations continue to evolve.

Whether you’re paying creators, freelancers, contractors, sellers, or gig workers, recipients increasingly expect the same level of visibility they get from modern banking and consumer payment apps.

They want to know:

  • What they’re being paid for
  • When payment is coming
  • Whether payment is approved
  • How the amount was calculated

Providing that visibility helps reduce uncertainty while strengthening long-term recipient trust.

It also creates operational benefits for platforms themselves. When recipients can self-serve payment details through the portal and invoice PDFs, support teams spend less time answering repetitive payout questions.

Fewer surprises. Fewer tickets. Better recipient retention.

For platforms that rely on maintaining a healthy recipient ecosystem, that trust compounds over time.
